We intentionally craft end-to-end management experiences for any event, large or small, and manage various global events, including conferences, trade shows, sponsorship activations, corporate meetings, and more. What you'll be doing

We seek a highly organized, resourceful, and detail-oriented Event Coordinator to join our team. This position will work closely with our event managers to execute our events at an exceptional level. The ideal candidate will have confident communication and organizational skills, be able to prioritize in a fast-paced environment, and work independently as part of our 4-person team. Some of your responsibilities include:

  • Event support: Collaborate with event managers on various projects, including logistics, activations, and production tasks.

  • Venue and vendor coordination: Research, outreach, and organize venue and vendor RFPs to support seamless event execution. 

  • Gifting management: Ideate, plan, and execute, and manage thoughtful gifting strategies for events, clients, and partners.

  • Logistics tracking: Monitor and manage shipments of marketing collateral, swag, gifts, and event supplies to ensure timely delivery.

  • Quality assurance: Proofread and edit documents to maintain high standards of accuracy and professionalism.

  • Industry awareness: Stay informed about event planning trends and best practices to contribute fresh ideas and innovative solutions.

  • On-site event support: Provide hands-on assistance during events, including day-of setup, coordination, and troubleshooting as needed.

  • Budget management: Assist in creating and maintaining event budgets, ensuring financial alignment and accuracy.

  • Creative contributions: Offer input on event themes, activities, and visual elements to enhance attendee engagement and elevate experiences.

  • General event logistics: Support event managers in managing budgets, organizing event activations, ordering swag, and executing other production tasks.

  • Coverage: Provide out-of-office coverage for event managers to ensure continuity in planning and execution.

  • End-to-end event understanding: Maintain a full understanding of all aspects of event planning, from inception to execution, to seamlessly support and contribute to the process.

Who you are

  • Experience: Preferably have 3+ years of experience in an administrative and event role, but we value diverse career paths.

Whether leveraging limited budgets, finding last-minute vendor replacements, or navigating unforeseen circumstances, your ability to think outside the box ensures every event succeeds, no matter the constraints.

  • Problem solver. You anticipate problems, are humble enough to know when to escalate, understand what tradeoffs should happen, and achieve a balanced, valuable experience for the client and attendees.

  • A true team player. Strong teamwork is necessary to manage multiple priorities and build excellent rapport with the internal team. You'll work with team members from diverse backgrounds and need to lean on their expertise, listen, and take in feedback.

  • Exceptional time management skills. You'll bring a sense of urgency and ownership to complete tasks to their deadlines and know ahead of time when items are falling behind. You'll be able to triage tasks and prioritize deadlines.

  • Technically savvy. You don’t shy away from opportunities for process optimization or learning new-to-you technology quickly. We currently use ClickUp, Google Docs, Slack, and Quickbooks Online. Our team uses Apple products and must be well-versed in iOS.

Expectations

  • Role: Full-time employment

  • Compensation: $45,000 to $55,000 based on experience

  • Location: AZ, CO, or DC preferred

  • Work hours and time zone: Expected working hours are from 8:00 AM to 2:00 PM PT

  • Manager: Reports directly to the Founder, Charlene Ditch

  • Travel: Must be willing to travel domestically and internationally for site visits and events.
